The Document Repository page is where you can upload your documents. You can upload them individually by using the Upload button or in bulk by using the Bulk Import link.
When you click the Upload button the pop up box appears for you to complete. The required fields are marked with a red asterisk. Click Browse to upload your document(s). Be sure to fill out the Strata Plan number and the Section Name (if applicable) the same as you have the property entered in your Properties tab. Once you have attached your document(s) and filled out the required fields then click Upload.
Once you upload your document(s) you will see them added to the list below the buttons.
If you click on the arrows that will allow you to drill down to the document itself.
If you wish to edit, view, or delete a document, click the check box beside the document and click the Edit, View, or Delete button. Use the search field to locate a document that you have uploaded. Use the Bulk Import link to upload your documents in bulk (the Bulk Import Guide link has instructions on how to use the Bulk Import).
Enabling the repository allows you to upload documents and store them within eStrataHub. If you enable the repository, you will see the Add from Repo button on your Order Assembly screen. You can use the Add From Repo button on your order assembly screen to attach those documents if you have them added into the repository. If you only enable the repository to use it as storage for your documents and don’t change any other settings then the customer will not see any choices for documents in the repository and delivery will be the same as it is now.
The Document Repository and Delivery Settings page is where you can enable or disable the Customer Repository Access. If you enable the Customer Repository Access but leave the Document Auto- Delivery Behaviour disabled and the Repository Settings at No Repository then the customer will not see any choices for the repository documents and delivery will be the same as it is now. Remember to click the Save Changes button at the bottom after you have changed any settings.
To change the Repository Settings for each document, you must first change the Document Auto-Delivery Behaviour to one of the options (Partial Delivery or Deliver all at once), save it, then choose your settings and save them. Under the Repository Settings you can have the settings the same for each document, or choose a different setting for each document.
If you enable the Customer Repository Access but leave the Document Auto-Delivery Behaviour disabled and the Repository Settings at Repository if Available then the customer will see choices for the repository documents if available and regular documents. If they choose documents that are in the repository and/or not in the repository (repository documents will be automatically attached on your order assembly screen), delivery will be the same as it is now. Remember to click the Save Changes button at the bottom after you have changed any settings.
If you enable the Customer Repository Access but leave the Document Auto-Delivery Behaviour disabled and the Repository Settings at Only Repository, then the customer will see an order list for repository documents only. When the customer chooses the repository documents, places the order, and you accept the order, then the documents will be automatically attached in your Order Assembly screen and delivered as they are now. Remember to click the Save Changes button at the bottom after you have changed any settings.
If you enable the Customer Repository Access and change the Document Auto-Delivery Behaviour to Partial Delivery and the Repository Settings at Only Repository, then the customer will see an order list for repository documents only. When the customer chooses the repository documents and places the order, then the documents will be automatically attached in your Order Assembly screen and delivered immediately/automatically. Remember to click the Save Changes button at the bottom after you have changed any settings.
If you enable the Customer Repository Access and change the Document Auto-Delivery Behaviour to Partial Delivery and the Repository Settings at Repository if Available, then the customer will see an order list for repository documents if available and regular documents. If the customer chooses only repository documents and places the order, then the documents will be automatically attached in your Order Assembly screen and delivered immediately/automatically. If the customer chooses repository documents and regular documents and places the order, then you must accept the order first before the repository documents are immediately/automatically delivered to the customer. The regular documents in the order will be delivered the same as they are now. If the customer chooses only regular documents and places the order, then the order will be delivered as it is now. Remember to click the Save Changes button at the bottom after you have changed any settings.
If you enable the Customer Repository Access and change the Document Auto-Delivery Behaviour to Partial Delivery and the Repository Settings at No Repository then the customer will not see any choices for the repository documents and delivery will be the same as it is now. Remember to click the Save Changes button at the bottom after you have changed any settings.
If you enable the Customer Repository Access and change the Document Auto- Delivery Behaviour to Deliver all at Once and the Repository Settings at No Repository then the customer will not see any choices for the repository documents and delivery will be the same as it is now. If you enable the Customer Repository Access and change the Document Auto-Delivery Behaviour to Deliver all at Once and the Repository Settings at Repository if Available then the customer will see an order list for repository documents if available and regular documents. If the customer chooses only repository documents and places the order, then the documents will be automatically attached in your Order Assembly screen and delivered immediately/automatically. If the customer chooses repository documents and regular documents and places the order, the repository documents are automatically attached in your Order Assembly screen and the order would be delivered as it is now. If the customer chooses only regular documents and places the order, then the order will be delivered as it is now. Remember to click the Save Changes button at the bottom after you have changed any settings.
If you enable the Customer Repository Access and change the Document Auto-Delivery Behaviour to Deliver all at Once and the Repository Settings at Only Repository then the customer will see an order list for repository documents only. If the customer chooses repository documents and places the order, then the documents will be automatically attached in your Order Assembly screen and delivered immediately/automatically. Remember to click the Save Changes button at the bottom after you have changed any settings.
Note:
- Under your priority fees, if you have the Additional Delivery options activated for the customer to be able to select on their order, those options will not be available for the customer if the order contains only repository documents that will be delivered immediately/automatically.
- If there are documents on the order that are repository documents and they are delivered immediately/automatically there will be no cancel button for the order.
- If there are documents on the order that are repository documents and they are delivered immediately/automatically there will be no priority fee for those documents and the system will calculate the estimated cost with that in mind.
- Staff users have access to enable the repository and add documents to the repository but they do not have access to the Document Repository Settings page. Account Owners have access to both.
